CodeWarriors Game Foundry – Safety & Supervision
Introduction#
This document outlines the commitment of CodeWarriors Game Foundry to providing a safe, supportive, and inclusive environment for all participants, instructors, and leaders. We are dedicated to ensuring the safety and well-being of every participant and maintaining high standards of safety throughout all Game Foundry / After-school programs.
For programs hosted by a school or partner venue, CodeWarriors works within the venue’s child safety, emergency, sign-in/sign-out, and first-aid procedures. Where this document differs from school procedures, school procedures apply for on-campus activities.
1. Supervision & Child Wellbeing#
Supervision
- Standard Game Foundry classes are delivered by two or more screened adult instructors present for the full session, including setup and pack-down.
- CodeWarriors aims to maintain an adult instructor to student ratio not exceeding 1:9
- Specific areas are designated for supervised activities, and participants will be informed of these boundaries.
Behaviour & Discipline
- We strive to create a positive, encouraging, and supportive atmosphere where participants feel comfortable and confident. We expect class participants to show respect for others, instructors, and equipment.
- Bullying, unsafe actions, or inappropriate behaviour will not be tolerated.
- Minor issues are addressed with reminders; repeated or serious issues will result in contact with the parents/guardians, and in rare cases, removal from a session or program following consultation with parents/guardians.
Child Protection & Privacy
- All adult instructors working directly with children hold current NSW Working With Children Checks (WWCC).
- Photographs or videos may occasionally be taken for promotional purposes, but only with parental consent provided.
- CodeWarriors retains only the minimum amount of personal information required to support students having successful outcomes in coding activities.
- This personal information is maintained confidentially, and deleted at the end of a Game Foundry term or when a student ends their program.
Online Safety
- Any online resources used during sessions are age-appropriate, supervised, and selected for educational suitability.
- Clear guidelines for internet usage are explained to participants, and instructors actively support responsible online behaviour.
- Game Foundry sessions do not rely on student accounts on school systems.
- A zero-tolerance policy for cyberbullying will be enforced, and participants will be educated on responsible online behaviour.
2. Health and Medical Care#
First Aid & Emergency procedures
- At least one instructor on site is trained in First Aid and CPR. The designated First Aid leader (Safety Officer) is named in the Registration information provided at the commencement of a Game Foundry term.
- A First Aid kit is available during all classes.
- Contact information for the parents/guardians and the emergency contact is provided during Registration, submitted before or at the commencement of a session. This information is readily accessible to attending adult instructors.
- In the event of fire, evacuation, or lockdown, instructors follow venue emergency procedures, and work in coordination with school staff where applicable. Parents are notified as soon as possible.
Medical Needs & Allergies
- Parents/guardians must provide full details of medications, allergies, or other conditions which may affect a student’s participation, wellbeing, or require assistance during classes.
- All instructors are informed of individual requirements for program participants, prior to classes.
Health & Attendance
- Children should not attend class if unwell, especially with infectious illnesses.
- If a child becomes ill during a class, parents will be contacted to collect them.
- In some cases, CodeWarriors is able to offer remote participation options for children who are unwell.
3. Routine#
Duty of Care
For after-school programs, CodeWarriors follows the school’s sign-in, supervision, emergency, and first-aid procedures.
CodeWarriors’ duty of care applies during scheduled Game Foundry session times only. Supervision begins when a participant is signed in to the session and ends when they are signed out to a parent or authorised adult.
Equipment & Belongings (BYOD / CodeWarriors device)
Bring Your Own Device (BYOD classes):
- Participants at a BYOD class bring their own laptop or device.
- We will make every reasonable effort to support children using their own device, regardless of brand or operating system.
- Parents/guardians are responsible for ensuring BYOD devices are in good working order and fully charged for the class.
- CodeWarriors cannot accept responsibility for loss, theft, or damage to personal devices or other belongings.
CodeWarriors Device (Provided by CodeWarriors):
- Participants at a CodeWarriors device class use devices provided and managed by CodeWarriors.
- CodeWarriors devices remain the property of CodeWarriors and are not taken home.
Pair-Based Learning & Device Sharing
- Our classes use pair-based learning, where two participants collaborate on the same project.
- This approach encourages teamwork and problem-solving skills, and reflects pair-programming practices in professional development scenarios.
- Pairings are managed by instructors and may change over time to support collaboration and learning.
4. Communication & Feedback#
Emergency Contacts
- Parents/guardians provide contact details for themself and at least one emergency contact during sign-up.
- In an emergency, instructors will first attempt to contact the parent/guardian, then the listed emergency contact(s).
Complaints & Feedback
- We welcome feedback and take concerns seriously.
- If you have a concern, please raise it with an adult instructor on site.

This document will be reviewed annually, or as needed, to ensure its effectiveness and compliance with current regulations. The next review is scheduled for May 27, 2027.
